Resignations of World Team/XCF Missionaries

Xenos career missionaries always have the option to resign from their role with World Team and as a ministry team member within Xenos. It is recommended that they approach their field team leader, World Team leadership and Xenos leadership for counsel prior to making a final decision to resign. This document provides a review of all policies related to resignation and should be consistent with the Xenos/World Team partnership agreement.

Definition of Resignation

Resignation means: the conclusion of missionary service under the auspices of World Team and Xenos by the choice of the member. In so doing, the missionary forfeits their accreditation status as per their Memo of Understanding with XCF and will enter into the Transitional Period as agreed to by the XCF elders and World Team

Resignation Notice

Though missionary ministry with XCF/World Team is generally considered career service, a missionary who wishes to resign is free to do so after following this policy. In all cases, resignation must include a written notice from the team member(s), ensuring clear communication between the parties involved.

At least three months' written notice is recommended of missionaries who intend to leave XCF/World Team.

Upon receipt of resignation, the Transitional Period will begin. The length of the Transitional Period will be determined, along with a complete severance proposal by Xenos and World Team. The severance proposal will at least direct the disposition of the missionary’s financial support and could include recommendations of various kinds. The severance plan is determined on a case-by-case basis, considering such factors as missionary and/or team history, conditions under which resignation was tendered, adherance to any requirements, etc.

The letter of resignation, which should include the reasons for the decision, should be submitted to the missionary’s immediate supervisor (i.e. Field Director) with copies to Xenos and World Team. When one partner of a married couple resigns, the appointment of the other partner shall also be terminated.

Disposition of Financial Support

Missionaries leaving XCF/World Team shall have no claim to funds raised by them or received by World Team through their representation. Other funds shall remain the property of World Team and be subject to reassignment at the sole discretion of XCF and World Team.

Disposition of Property

All tangible property purchased with ministry funds, either through an individual missionary’s ministry account or the field ministry account, shall remain the property of World Team. Upon resignation, a complete inventory, including an estimate of fair market value of all World Team owned property must be submitted to the appropriate supervisor with an informational copy to Xenos. This inventory must include all office furniture, equipment, computers, cameras, books, supplies, vehicles and other equipment purchased with ministry or World Team funds. At the choice of the resigning member and subject to approval by XCF and World Team, tangible property purchased through personal ministry account funds may be purchased from World Team at an acceptable fair market value. World Team could decide to give such property to the resigning missionary as taxable income, meaning tax forms will be filed at year-end reporting the property as income (see property ownership policy). The disposition of any remaining items shall be handled by the Field Director in consultation with World Team and Xenos.

Communication to Supporters

Missionaries must communicate their resignation in writing to their supporters in an expeditious manner. Before the letter can be sent to supporters it must be approved by World Team and the following Xenos leaders: Director of World Ministries, Missions Division Coordinator and the Senior Elders. The review and approval of the letter should be swift with consideration for a timely mailing.

In cases where a missionary is resigning from a field team comprised of other Xenos members, Xenos advises that donors be asked to shift their support over to the remaining Xenos team members. The supporters are free to choose whether to continue supporting the work of this team or not.

Termination Resulting from Resignation

The Effective Termination Date of the member resigning shall be at the end of their Transitional Period. Missionaries may continue to receive salary plus health plan coverage up to their Effective Termination Date as spelled out in their severance plan. After that, neither World Team nor Xenos will have any continuing financial responsibility for members who resign
