Group Organization

Your event planning and administration should be divided into two areas—Logistics and Food

  1. FIND A "POINT-PERSON" TO HEAD UP EACH AREA. Do not try to do everything yourself. This step, as well as the people recruited to help in each area by the point person, will be what galvanizes your group around the event and outreach.  

  2. The point person in each area should be encouraged to recruit people to help with specific key areas. This is the aspect where we see newer Christians get turned on to serving the Lord. As they agree to take on a temporary role in the event, we believe the Holy Spirit has often used this step to reinforce the joy of serving Christ and being actively involved in the body of Christ.

Here are the critical tasks in the two areas:

LOGISTICS

FOOD

If your group is not providing its own facilitator, schedule the facilitator through Xenos staff, not directly with the facilitator. It is best to have 3 dates and 3 topic options ready.

The cuisine menu will be comprised of many recipes—distribute recipes to group members and have them test recipes with their friends or family first.

Make certain the host home will be adequate in size.

Have a person designated to ensure enough plates, bowls, napkins, plasticware, etc. is present. There are nicely designed paper products available.

Have a computer-wise person generate attractive color invitations. These must be ready at least one month before the event.

Generally, people don't do the cooking at the home where the event is hosted. The cooked item usually is brought over, possibly warmed up. Recipes to be grilled or fondue are done on site.

Room set-up and decorations—often are aligned with the cuisine theme. (Call the Xenos office to find decorations to borrow.)

Many groups get together the night before the event to prep and cook.

Hospitality—have at least two of your warmer people arrive early only to greet people, fill out name tags (important to help all attendees feel comfortable), offer something to drink, etc.

If your menu is not from the C&C notebook, please keep a copy of all recipes and share them with the administrative staff who will ensure all groups gain access.

Money—collect all food & decoration receipts, add them up & split among all home group members (whether at the C&C event or not).

 

Results—we'd love to know if people enjoyed the event.

 

Fill out report form and return to the Xenos C&C administrator.
