General Purpose ("Why does this position exist?"):
Responsible for tracking state and federal funded programs. Serves as the initial contact person for new families and students. Responsible for scheduling substitute teachers and assisting employees in completing personnel related paperwork. In addition, this position monitors the activity of the school nurse, and assists in the logistics of on-site events.

State Funded Programs:
Non-Public Administrative Cost Reimbursement (NPAC)
- Ensure compliance with State of Ohio reporting requirements
- Establish standard reporting time for administrative tasks
- Ensure the accurate reporting of time by all staff
- Ensure all information is entered and maintained accurately
Non-Public School Services (NPSS)
- Coordinate the ordering of classroom resources (books, manipulatives etc.)
- Maintain classroom inventory information in an accurate and timely manner
- Requisition and coordinate payment of psychological services, and standardized test materials
- Supervise the activities of the Columbus Public Schools nurse

Pupil Health:
- Prepare State Immunization Report
- Schedule Speech/Hearing Therapist
- Schedule/conduct annual vision screening
- Schedule Scoliosis Screening
- Immunization Collection/Follow-Up
- Letters sent for excessive absenteeism/fines,etc.
- Schedule School Psychologist with teachers, administrator and families

Secretarial Support:
- Greet visitors and answer questions regarding the school’s programs
- Assist in the preparation of bulk mailings and school-wide distributions including annual registration material
- Answer phones
- Organize student and office files
- Assist students and teachers during emergency dismissal procedures

Purchasing of non-state/federally funded classroom supplies. Coordinate and track the ordering of XCS expenditures for the classroom. Prepare and submit an annual budget to the superintendent and finance director.

| Student Enrollment:
- Conduct school tours with prospective families
- Review school philosophy and purpose with prospective families
- Assist in developing school publications

Personnel:
- Assist teachers in preparing their teacher certification paperwork
- Schedule substitute teachers for all certified staff
- Coordinate Bureau of Criminal Investigation finger printing and paperwork
- Maintain a file of weekly lesson plans
- Assist in notifying staff and parents in the event of a school closing

Minimum Education & Experience Requirements
· Effective communication skills with parents, children and staff
· Administration, planning & organization, ability to supervise and motivate people
· Familiarity with IBM compatible computers; Microsoft Word, Excel, Power Point and Access software packages.
