Indirectly Reports To:  Building Principal

 

General Purpose ("Why does this position exist?"):

 

Responsible for ongoing daily administration of the school office, supplies, equipment, communication between staff, students and parents.  In addition,  the secretary coordinates volunteers, logistics of on-site events and additional project work related to the operation of the office.

General office support:

·        Maintain all student & office files

·        Serve the secretarial/clerical needs of the staff

·        Maintain daily organization and appearance of the office

·        Distribution of memos, mail  & flyers

·        Perform basic first aid for students and staff

·        Discipline students if necessary

Communications:

·        Greet visitors and answer questions regarding the school’s programs

·        Assist in the preparation of bulk mailings and school-wide distributions including annual registration material

·        Attends and participates in all staff meetings

·        Answer phones

Project Work:

·        Maintain teacher resource library

·        Organize student and office files

·        Coordinate volunteers and provide assistance for special events

State Regulations:

·        Monitor and record daily attendance records

·        Assist students and teachers during emergency dismissal procedures

·        Monitor and record fire evacuation drills

Nature of Supervision Received (check one):

Routine work performed under immediate supervision with detailed instructions.  Activities required minimal decision making.

Primary routine work performed with supervision readily available.  Activities follow established, well-defined procedures, and basic decision are made within the scope of these procedures/guidelines.  Decisions outside the scope of the guidelines are referred to the supervisor.

Work performed independently with supervision available.  Manages and prioritizes own workload; expected to make some non-routine decisions requiring judgment and interpretation.

Under direction as to assignments and general methods of execution, with periodic review of assignments.  Expected to make non-routine decisions requiring analysis and interpretation with limited guidance from supervisor.

Under general direction as to broad assignments.  Determines methods and delivers final results.

Within the broadest scope of the unit's objectives, determines and executes major programs.

 

 

Minimum Education & Experience Requirements

 

·        Familiarity with IBM compatible computers; Microsoft Word, Excel, Power Point and Access software packages.

·        Strong administrative skills

·        Effective communication skills with parents, children and staff
